- Assists the OIT Deputy Chief Information Office (DCIO) in ensuring that OIT services are delivered with a high degree of customer service and satisfaction. This is a position of special trust and incumbent in this position will assist the DCIO by performing duties with the Office of Information Technology (OIT) relative to personnel, purchasing, policy, operations and budget matters. The incumbent in this position is fluent with working with MyFloridaMarketPlace.
- Works closely and effectively with the DCIO to keep him/her well informed of upcoming commitments and responsibilities and follow up appropriately. Electronically manage the DCIO’s calendar, coordinate meetings, scheduling of conference rooms and/or MS Teams meetings, analyze telephone inquiries as appropriate and formulate appropriate responses; provide independent responses in writing to correspondence received by the DCIO involving minor administrative inquiries; review and when appropriate respond to emails and correspondence in the Director’s absence, and tracking correspondence to ensure deadlines are met.
- Maintains a list of issues taking place in the environment and keeps the DCIO and/or the Bureau Chief of Business Solutions (BC) updated. Presents documents to DCIO requiring review(s)/signature(s) and follows up to ensure successful completion. Maintains a suspense file of pending items and follows up accordingly and timely.
- Assists the DCIO by following-up and reporting the completion of action items, tasks, or projects that are under the responsibility of the DCIO/OIT. Handles these duties and responsibilities expeditiously, and proactively to successful completion. Recommends improvements to processes. On occasion these duties and responsibilities may occur before or after standard business hours.
- Assists in drafting and/or submission of statutorily or other required reports/communication from the OIT to the legislature and/or executives within the Agency. The reports and/or other forms of communication are to be drafted in various formats utilizing Microsoft products, such as, Word, PowerPoint, etc., and handles assignments expeditiously and proactively to successful completion.
- Assists DCIO and BC with travel, including request, actual arrangements, reimbursements and STMS.
- Communicates key items from program areas that may need to be sent to all OIT employees. This may involve communications such has emergency management activities and other key communications.
- Coordinates the ordering of office supplies and OIT items with the OIT-Buyer. Assists in following up with purchases via the MyFloridaMarketPlace as requested.
- Creates and maintains operational guides, office procedures, measures, and related documentation to ensure job responsibilities and goals are met. Assists the DCIO and/or BC with workflow management tasks relating to OIT administrative programs such as procurement, contract management and information technology audits.
- May be requested to participates in regular meetings with DCIO and/or BC to take appropriate meeting minutes. Responsible for drafting and providing the meeting minutes to appropriate entities for review/comment and maintain in an appropriate file. Retrieve files as requested, expeditiously.
- Assist with general calls for OIT assistance and route requests to appropriate bureaus as needed.
- Maintains and coordinates with OIT Administrative staff on daily assignments. Maintains a good working relationship with OIT Administrative staff.

REQUIRED QUALIFICATIONS:
- One (1) year experience with HR related functions such as posting job advertisements, creating, and managing position descriptions, separation process.
- Two (2) years’ experience working with My Florida Market Place/Ariba on Demand
- Two (2) years’ experience with office management duties such as purchasing, processing invoices and managing office budgets
- Two (2) years’ experience as a lead worker or management experience.
- Three (3) years’ experience with Microsoft office products including, Word, Excel, PowerPoint, Microsoft based email and calendaring or equivalent.
PREFERRED QUALIFICATIONS:
- Preference given to management experience.
- Preference given to overall work experience.
- Preference given to college degree or other higher education.
- Preference given for Teams and SharePoint experience.
