This is a highly professional position requiring effective communication with internal and external partners, critical thinking and decision making, organization, attention to detail and the ability to work independently. The incumbent in this position will be a team lead and will be expected to train, mentor, and lead a team of grant managers. This position reports directly to the Biomedical Research Section Senior Management Analyst Supervisor and is located onsite in Tallahassee, FL.Responsibilities for this position include:Team Lead

  • Collaborates with other team leads regularly to establish processes, procedures, and best practices for grant management for the section.
  • Collaborates with other team leads regularly to establish training plans and documents for the section.
  • Acts as a trainer and subject matter expert for their grant team.
  • Conducts quality assurance and provides approvals of the work products for their grant team.
  • Ensures all grants assigned to their team meet compliance and policy requirements.
  • Acts as a champion for the productivity, efficiency, and compliance of their grant team.
  • Effectively communicates policy and procedure changes to their grant team.
  • Promotes positive working relationships and facilitates ongoing communication and cooperation with both internal and external partners.
  • Assists with the continued operations and improvements within the Division.

Grant Manager

  • Serves as a grant manager and is responsible for the administration and monitoring of multiple biomedical research grants. This includes all aspects of the grant management lifecycle including application development and submission, pre-award tasks, post-award execution and monitoring, grant reconciliation and closeout.
  • Works with Principal Investigators and Sponsored Research Officers on the effective execution of grants, terms and conditions, and amendments as necessary
  • Provides technical assistance to grant awardees and points of contact.
  • Develops deliverables and prepares agreements and amendments as required.
  • Tracks and reviews quarterly progress reports for grants.
  • Performs desk and onsite monitoring of assigned grants (if necessary).
  • Tracks grant budgets and submits invoices to ensure payment within compliance timeframes.
  • Maintains good working relationships and keeps in close coordination with grant awardees and applicable points of contact.
  • Maintains all files on the grant from execution to final closeout.
  • Responsible for entering data into tracking logs to meet compliance requirements and accurate reporting.
  • Responds in a timely and comprehensive manner to inquiries sent by internal or external entities regarding grants.
  • Supports, coordinates, and represents the Division at meetings, councils, conferences, and other events (virtual or in-person) as needed.
  • Assists with preparation of reports and analyses as requested by the supervisor for use in decision making or reporting to Executive Leadership.

Advisory Boards and Committees

  • Provides administrative support for advisory boards/committees/councils as assigned.
  • Plans, schedules, and facilitates advisory board/committee/council meetings including drafting of the agenda, meeting minutes, and follow-up communications as assigned.

Required Knowledge, Skills, and Abilities:Basic computer skills. Skill in Microsoft Office 365, including Word, Excel, and PowerPoint. Critical thinking, problem solving, emotional intelligence, ownership and commitment, business acumen, relationship management, servant leadership, customer centricity, and risk management. Understanding of methods of data collection and analysis; basic management principles and practices. Ability to work independently, determine work priorities and ensure proper completion of work assignments; communicate effectively both verbally and in writing; assess budgetary needs; formulate policies and procedures; understand and apply applicable rules, regulations, policies and procedures relating to the program; organize data into logical format for presentation in reports, documents and other written materials; collect, evaluate and analyze data to develop alternative recommendations, solve problems, document work flow and other activities relating to the improvement of operational and management practices; conduct fact finding research; solve problems and make decisions.Qualifications:Preferred:

  • A current Florida Certified Contract Manager Certification (FCCM).
  • A bachelor’s degree from an accredited college or university and four years of professional experience in contract or grant management with a State of Florida Government Agency.
  • A master’s degree from an accredited college or university can substitute for one year of the required experience.
  • Professional experience as described above can substitute on a year-for-year basis for the required college education.
  • Proficient experience with Microsoft Office 365 Applications.
