Description: OverviewThe Government Affairs Coordinator is a key player to optimize the function and responsiveness of the Government Affairs department, assisting staff in day-to-day administrative operations of advocacy programs and activities. Provide support with committee management, invoice and expense management, scheduling, travel arrangements, event planning, member and other external communications, and other activities. This position reports to the Advocacy Engagement Manager.Cover Letter RequiredNote: This position is considered Hybrid and will need to commute to ACOG’s office located in Washington, D.C.Responsibilities

  • Coordinate the efforts of the team by collaborating with Government Affairs staff, including federal, state, PAC, and advocacy.
  • Perform administrative duties, including responding to phone and email inquiries, processing mail and coordinating special mailing and distributions, assisting with travel arrangements, and processing contracts.
  • Monitor department email account. Triage, respond to, and/or forward emails as appropriate.
  • Submit and monitor internal tickets to coordinate and maintain department website content, member communications (e.g., newsletters, emails, surveys), and resources for ACOG members and the public.
  • Assist with the planning and execution of annual Congressional Leadership Conference (CLC).
  • Lead in the management and development of activities for ACOG’s Advocacy All-Stars program.
  • Assist with the development and implementation of innovative advocacy and campaign strategies related to ACOG policy priorities.
  • Draft, edit and review as needed various member communications such as action alerts and emails. Maintain and update ACOG’s Advocacy Action Center.
  • Collaborate with ACOG’s Public Affairs team in the creation of advocacy content for ACOG’s social media platforms.
  • Support the development of new and ongoing projects that engage ACOG members in various advocacy activities.
  • Provide logistical coordination for meetings, trainings, workshops, exhibits, and other events within scheduled deadlines, including but not limited to distribution of meeting notices, forms, and all other meeting-related communications and materials; prepare, distribute, and order

relevant materials and/or equipment; prepare and monitor packages for shipment to and from meetings, exhibits, and sites; reserve and confirm meeting space, A/V, and catering arrangements. • Prepare, process, and log all department invoices as well as staff and volunteer reimbursement requests; review budget reports, as requested.

  • Provide excellent customer service to all internal and external inquiries. Communicate tactfully, diplomatically, and with discretion with a variety of stakeholders from various backgrounds, educational levels, experience, and interests.
  • Perform other duties as assigned.

QualificationsRequired Skills/Abilities:

  • Strong interpersonal and customer service skills
  • Strong oral and written communications skills; social media experience preferred; knowledge of message design and audience targeting experience preferred.
  • Strong organizational skills and attention to detail.
  • Ability to work both cooperatively as well as independently; ability to prioritize tasks effectively.
  • Proficient with Microsoft Office Suite (specifically Word, Excel and PowerPoint) and familiarity with Adobe Acrobat Reader.
  • Ability to work at night 4-6 times, as well as 1-2 weekends a year (pre-scheduled)
  • Travel may be required

Education and Experience:

  • High School Diploma required; college degree preferred
  • Minimum 1-2 years of experience in an office support setting
  • Invoice processing experience and understanding of billing practices required.
  • Experience in grassroots organizing or engagement preferred
  • Experience with event planning preferred.
  • Experience working with committees and taking minutes preferred
  • Experience with political action platforms (e.g., Quorum) or the ability to learn new platforms is necessary.
