We are actively hiring for this position. This position will be based out of our office in Spanish Fort. If space allows, depending on candidate preference, we may be able to base this position out of our office in Foley. We offer Individual health insurance fully paid for by the firm. Responsibilities: • Supervise Non-Attorney Staff: Oversee time off approvals, scheduling, work coverage, and ensure adherence to firm policies and procedures. • Serve as the Utility Player: Be the utility player on the team who can jump in to fill gaps when other staff members are out of the office. • Quality Control: Review the quality of work produced by staff, provide regular feedback, and conduct one-on-one meetings to maintain open communication and employee engagement. • Policy and Procedure Management: Work with the Firm Administrator to develop, update, and implement written policies, procedures, checklists, templates, and scripts. • Audits and Spot-Checks: Perform regular audits and spot-checks to ensure compliance with firm policies and the effectiveness of processes. • Billing and Time-Keeping Oversight: Review case management systems for accuracy in time entries and documentation, and ensure timely billing and collections. • Vendor and Inventory Management: Serve as the primary contact for maintenance, improvement, and updates of firm software applications, and manage office supplies and equipment. • Client and Matter Workflow Management: Ensure that client matters progress smoothly through the workflow pipeline, report on case statuses, and facilitate regular case review meetings. • Reporting and Metrics: Gather data and prepare comprehensive reports on key performance metrics for review by the Owner and Administrator. • Training and Development: Schedule and execute training meetings and programs as directed, and assist in the onboarding process for new hires. • Special Projects: Handle special projects assigned by the Owner/Administrator, ensuring that they are completed efficiently and effectively. Qualifications: • Bachelor’s Degree or Equivalent Experience: A degree in business administration, management, or a related field, or equivalent work experience. • Experience in Legal or Professional Services: Proven experience in law firm project management and process management is preferred, but candidates with a management background in service, professional, or other industries will also be considered. • Strong Organizational Skills: Demonstrated ability to plan, organize, and prioritize tasks efficiently, with a focus on key priorities. • Excellent Communication Skills: Ability to speak and write clearly and articulately, maintaining high standards in all forms of communication. • Analytical and Problem-Solving Abilities: Proficient in structuring and processing qualitative and quantitative data to draw insightful conclusions. • Attention to Detail: Keen eye for detail, ensuring that important elements do not slip through the cracks or derail projects. • Technological Proficiency: Competent with the use of a computer including saving documents in folders, typing, spreadsheets, cloud based software, cloud based email, calendar software and case management software. • Proactive and Self-Motivated: Acts independently and brings new ideas to the firm, demonstrating a proactive approach to work. • Leadership and Team Development: Capable of supervising and developing non-attorney staff, providing coaching and feedback to improve performance. • Management Experience: Demonstrated experience in managing business operations, including overseeing non-attorney staff and managing front-of-house functions. • Customer Service Orientation: Strong commitment to client service and satisfaction, with experience in handling client interactions and resolving issues effectively. • Adaptability and Flexibility: Adjusts quickly to changing priorities and conditions, coping effectively with complexity and change. • High Ethical Standards: Demonstrates honesty and integrity, earning trust and maintaining confidences, and doing what is right, not just what is expedient.
