Communicates by phone and in writing with vendors and publishers to resolve problems. 6. May assign vendors and dealers. Identifies duplicates of material and prepares description of differences. 7. Instructs, revises the work and provides work direction to staff. 8. May assist in the coordination and distribution of work. 9. For additional information on the background check requirements and process visit “Learn about background checks” under the Applicant Support Resources section of Careers on the It’s Your Yale website.Searchable Job FamilyLibraryExternal Gateway Posting Date23-Dec-2024Total # of hours to be worked:37.5Position Focus:Under the supervision of the Acquisitions Supervisor, the Acquisitions Assistant II performs a wide range of tasks associated with the ordering, receipt, and management of materials in all formats, including, but not limited to, receiving, online access confirmation, claiming, vendor communications, gift processing, shelf preparation, catalog updating and maintenance and the binding and simple preservation of print materials.Receives and ingests monographs received from library approvals, slip orders, firm orders, rush orders, and gifts, including processing shelf-ready items into the library service platform (LSP). Reviews incoming shipments for accuracy and completeness and resolve problems with shipments, including communicating with vendors by telephone, email, and written correspondence. Searches Yale library catalog, Library of Congress resource file, OCLC, and other sources for matching cataloging copy with complete or incomplete information from publications in any format in hand. Creates purchase orders for approval and other incoming material through single-item and batch processes. Performs scanning and digitization tasks for invoices, including Hyland OnBase scanning and data entry. Prepare items for transfer to the Library Storage Facility. Performs additional related duties, including materials management (i.e., sorting and distribution of mail, charging and routing of materials, unpacking, shelving, etc.) and various tasks as needed and as assigned by the Manager. Prepares expense reports for PCard purchases made with third party vendors for library collection materials. Resolves spine and barcode label problems. Retrieves material from the stacks as necessary. Searches stacks or in-process/backlog inventory for existing title set-ups for volumes not found in the LSP. Prepares, and dispatches physical material to the commercial bindery when necessary. Works with vendors to coordinate pickup and delivery of materials to the library. Processes physical material for in-house preservation using boxing or other enclosures. Moves heavy book trucks and carts; assists with maintaining cart inventory procedures. Maintains in-house files for materials sent to the commercial binder and departmental statistics. May contribute to the development of workflow and procedure documentation. Fiscal year-end vacation restrictions apply.Preferred Education, Experience and Skills:Knowledge and experience using integrated library systems (e.g. Sierra, Voyager, Alma or other bibliographic control system) for technical services operations. Familiarity with library acquisitions and/or cataloging practices and procedures.
