Join McKinnon Legal as a Legal Assistant, where your duties will include overseeing office communications, such as handling phone calls and emails, managing client intake, scheduling meetings and travel, and ensuring our legal team is informed of approaching deadlines. Our tight-knit team operates collaboratively on-sit. Telecommuting is not an option for this role.Responsibilities:
- Ability to follow systems and checklists for meeting the required key performance indicators
- Comfortable on the phone with judicial staff, opposing counsel, and handling urgent client matters
- Experience managing a heavy caseload
- Manage office correspondence and administrative tasks such as answering phone calls, communicating with opposing attorney offices, taking dictation, responding to emails, and reminding the team of upcoming deadlines
- Performing client intake into our CRM and scheduling consultations as required
- Coordinating with judicial staff and opposing counsel to calendar trials and evidentiary hearings
- Keeping deadlines, eFiling, assisting the paralegals and attorneys with docket tracking
- Assist with the creation of various litigation documents, including pleadings, motions, subpoenas, affidavits, contracts, and briefs for case preparation, and proofread documents as needed
- Use daily time records to properly process client billing with support from the accounting department
- Undertake other duties as needed to ensure the firm operates efficiently
- Minimum 2-3 years of experience in a law firm or office environment as an assistant or its equivalent
- Must be able to type at least 50 WPM
- Ability to multi-task and move through client workflows quickly
- Collecting and compiling discovery and working closely with paralegals
- Ability to be cross-trained and cover tasks to assist the team
Qualifications:
Ideal Candidate:
- Ability to manage multiple systems for financial and legal documents
- Intelligent and ability to work independently
- Well-versed in law firm processes
- Can manage deadlines and exercise docket control
- Willing to conduct legal research, when necessary, with guidance from attorneys and paralegals
- Focuses on growing with the firm
- Bachelor’s degree preferred (but not required)
- Experience with legal software, litigation case management, CRM, and docketing programs
- Comfortable working with all Microsoft Office products
- Ability to work effectively in a fast-paced environment and meet deadlines with quick turnaround times
- Organizational skills and communication skills are necessary for this position
- Do you have excellent written and verbal communication skills?
- Can you manage External Policies with clients and ensure adherence?
- Professional speaking voice and ability to deal with opposing counsel and judicial staff
- Preparing Service Packets to execute service on opposing parties
- Makes suggestions for increasing the efficiency of the team
